Legal Information

Local Travel Agency, how does it work?

According to Vietnamese tourism law, any Travel Agency is considered legal when it officially and legally holds the following two licenses:

- A Business License for TYPIC travel, issued by the Ministry of Planning and Investment: 0106743189

- A professional and special license (International Tour Operator) issued by the Vietnam National Administration of Tourism, directly under the Ministry of Culture, Sports and Tourism: 01-817 / TCDL - GPLHQT (VNAT)

Why?

These procedures aim to ensure that the Travel Agency is a real company and has sufficient professional competence and financial capacity for organizing travel programs and services for foreign tourists. Because there are still many anonymous Agencies without this License.

TYPIC travel is a local agency in Vietnam that is 100% legal and reliable, 99% French-speaking, 100% ordered and 100% satisfied by its Clients, with the right to organize all types of trips, tours and circuits, stays, cruises and all tourist services throughout Vietnam and Indochina.

The agency is recognized under the Vietnamese name: Công ty TNHH THƯƠNG MẠI VÀ DU LỊCH TYPIC VIỆT

Or with the trade name TYPIC TRAVEL CO. LTD, which holds a business license with registered number: 0106743189 issued by the Ministry of Planning and Investment.

And obligatorily holds a referenced license in the tourism sector (travel) called International Tour Operator Licence under No: 01-817/TCDL-GPLHQT (VNAT), issued by the Vietnam National Administration of Tourism which is now under the Ministry of Culture, Sports and Tourism.

In accordance with Vietnamese law, TYPIC TRAVEL CO., LTD has deposited a consignment of 20,000 Euros with Vietcombank, and Eximbank Vietnam, the largest state-owned bank in Vietnam. This consignment is exclusively intended to ensure the civil liability of TYPIC travel towards its clients.

1. Preamble

contratTYPIC travel designs and sells tourism services and products (trips, tours, holidays, stays, cruises, etc.) to consumers, marketed through its website www.TypicTravel.com. The list and description of products offered by TYPIC travel can be consulted on this site, or custom-made products.

2. General Provisions

The General Conditions of Sale described below are an integral part of any service contract concluded between, hereinafter:
on the one hand, the "Company or Agency" TYPIC travel and on the other hand, the Client.

The conclusion by the Client of a contract with TYPIC travel (Abbreviated as TTV) implies that the Client has read, understood, and voluntarily and unreservedly adhered to the terms of these General Conditions of Sale.

3. Offer Validity Period

- All pre-established itineraries and tours mentioned on the website https://typictravel.com are valid according to their indicated durations.

Whenever prices are given, they are either in US dollars (USD), euros (EUR), or Vietnamese dong (VND).

For booked trips, the agreed prices are valid for the duration specified in the pricing, invoice, or any other document established by TYPIC travel for the Client.

- TYPIC travel guarantees the validity of prices, invoices, or documents provided to the Client at the time of their distribution. However, these prices may be subject to readjustment in certain cases of force majeure. Namely, cases where, due to an unpredictable change in the contract environment (significant fluctuation in the exchange rate, newly enacted state tax, significant increase in hotel or transport prices...) and this, with or without prior notification from the Agency, TYPIC travel would be unable to properly perform the service requested by the Client at the initial prices. In these cases, a reasoned request for readjustment will be sent by TYPIC travel to the Client who can either accept or refuse it. In case of refusal by the client, TYPIC travel reserves the right to cancel the program, and will be responsible for reimbursing the Client the deposit they have paid.

The acceptance of the order will be confirmed by TYPIC travel to the Client according to the method chosen by the latter. Upon confirmation of the trip, the client validates their order by paying TYPIC travel a deposit of 30% of the total cost of the trip by one of the payment methods specified below. An acknowledgment of receipt is established and sent to the Client by email, and the remaining balance (70%) will be paid one month before the start of the trip or, at the latest, at the start of the trip, without any reminder from the Agency. Please note that all bank charges are the responsibility of the client. Otherwise, TYPIC travel reserves the right to cancel the trip and retain the entire deposit paid by the Client.

5. Payment Methods

payementAll prices are given in Euro or US Dollar, however, they follow the US Dollar index. Prices therefore fluctuate according to the evolution of the exchange rate between EURO/USD; they are reflected in the deposit and payment.

TYPIC travel guarantees the validity of prices, invoices or documents given to the client at the time of their distribution, but prices may be subject to readjustment in certain cases of force majeure (significant exchange rate fluctuation, newly promulgated state tax, etc.). The price may thus vary significantly when the deposit is paid or the balance is settled, depending on the exchange rate at the time of payment.

Cash payment: only after agreement of both parties 

Payment by traveler's check: only after agreement of both parties; 5% fees are charged to the Client.

Or the bank transfer can be made to the account specified on the invoice sent by E-mail.
It should be noted that it is preferable, if the Client's account is in euros, to make the transfer to TYPIC travel's Euro account, and similarly for a dollar account, in order to avoid potential bank fees and/or errors.
Payment via OnePay Bank Link: If the Client wishes to make a quick deposit from their personal account for the Bank Link sent by the Agency, the following fees apply:
*_ 3.3% bank fees for Card Types: Visa Card, Master Card, Credit Card..
*_ 3.8% bank fees for Card Types: American Card, JSC, Union Card and others
*_  5.5% bank fees via Paypal Account 


Payment by credit card (Online or on-site) : in case of payment by credit card on-site, the Client must present themselves at the Agency with their card. Payment is made via a machine directly connected to the bank. Bank fees of 3% apply and are charged to the Client. For secure online payment, it is recommended to follow the instructions displayed during the payment process.

Upon payment of a deposit or the balance by the Client, TYPIC travel will issue a paid invoice which will be given to the Client before or upon the travelers' arrival in Vietnam. 

6. Modification of the order or travel program

Any modification of their order by the Client must reach TYPIC travel at least three weeks before the start of the trip.

Modification of the program during the trip is possible, subject to the availability of the requested services and possibly the payment of any resulting fees.

In the event that there is a perceived lack of security for its Clients, TYPIC travel has the right to change the itinerary of the tour without prior notice to the Clients.

7. Cancellation

*. Apart from a serious impediment (valid reasons may include: illness, death of a family member or other with supporting document to be provided), you cannot proceed with a cancellation without incurring a loss of the sums you have paid. Please note that if you do not have your passports in time or if you have not purchased your plane tickets to come to Vietnam, or no Visa for exceptional cases, this is not considered a valid reason.

*. This cancellation, without a valid reason, is indeed considered a pure and simple breach of contract. As such, you will therefore be obliged to compensate for the damage suffered by the tour operator, as the latter has committed itself to various subcontractors (carriers, hotels, etc.).

In case of trip cancellation, the client must pay penalties corresponding to:

7a. Cancellation by the Client

In case of cancellation by the Client, for whatever reason, the Client agrees to pay the following cancellation fees: 

  • After signing up to 30 days before departure: 10% of the total trip amount will be retained as cancellation fees for processing the travel file.
  • From 10 to 29 days before departure: 30% of the total trip amount will be retained as cancellation fees.
  • From 3 to 9 days before departure: 70% of the total trip amount will be retained as cancellation fees. In case of cancellation 3 days or less before the start of the trip, 70% of the total amount is charged (30% deposit + 40% late cancellation fee)
  • 2 days before departure: 100% of the total trip amount will be retained as cancellation fees. In case of cancellation 2 days or less before the start of the trip, 70% of the total amount is charged (30% deposit + 70% late cancellation fee)

This rule applies to all services booked by the Client with TYPIC travel. The payment of cancellation fees by the Client will be made by bank transfer, bank link or in cash, and all bank charges will be borne by the Client.

Note that cancellation fees for processing the file and making all changes with the guide, drivers, hotels, restaurants, Junk, Boat, Train, Domestic and International Flights if included etc. ...

  • No refund is granted in case of "force majeure".
  • No refund is granted if the client leaves the program after it has started for any reason whatsoever or if they miss a scheduled visit or tour or if they do not show up

7b. Cancellation by TYPIC travel

The contract granted for services rendered by TYPIC travel may be canceled by the latter for reasons related to a force majeure situation: political, health, natural disaster, epidemic, etc. In all such cases of cancellation, registered persons are fully reimbursed but cannot claim any compensation.

In the event that there is a perceived lack of security for its Clients, TYPIC travel has the right to cancel the trip without notifying the Clients, and will refund its Clients for the unrendered services of the rest of the trip, without bearing any compensation to its Clients.

The refund from TYPIC travel to the Client will be made by bank transfer or bank link, with the Client responsible for paying all bank charges.

8. Comments | Complaints | Suggestions
- During the trip, please state and express your wishes and/or difficulties to our Guides or Travel Advisor (in time). Our guides are at your disposal and the only ones who can truly help you directly.
- Please do not wait until the end of the trip or tour to make your comments or suggestions, or to talk about what you feel, what you needed or what you wanted. No complaint will be accepted if it is not mentioned to the guides

9. Insurance | Assistance

Anyone participating in a trip organized by TYPIC travel must take out international travel insurance. This insurance is generally taken out by the client in their country of origin, with possible advice from TYPIC travel; it must be confirmed before the start of the trip.

TYPIC travel undertakes to provide all useful assistance to the client when events covered by the insurance occur, particularly in completing formalities with the competent authorities and the insurer.

10. Responsibilities

- TYPIC travel undertakes to provide the Client with all services mentioned in the contract and the travel program provided by TYPIC travel.

During the trip, the Client must comply with the regulations announced by the guide or by the representative of TYPIC travel. These are rules aimed at ensuring the client's safety and the quality of the travel program. Any activity of the Client that is not part of the travel program, as well as any violation of the law of the host country committed by them, cannot be under the responsibility of TYPIC travel.

- TYPIC travel is responsible to the Client as an intermediary between the Client and the various service providers (airlines, hotels, transportation, restaurants, boats, etc.). TYPIC travel must in all cases do its best to ensure the best quality of services and satisfy the Client, but cannot be confused with these various service providers, who, in any event, retain their own responsibilities.

- TYPIC travel is not responsible for harmful consequences resulting from a force majeure event.

- TYPIC travel does not refund costs related to services included in the program but not used by the client. Nevertheless, if the trip is interrupted in whole or in part for reasons of the Client's health, TYPIC travel undertakes to take all necessary steps to obtain from the service providers a total or partial refund of the costs of unused services.

11. Disputes

Both parties undertake to fulfill the above clauses. In case of disputes, they undertake to seek an amicable solution in a spirit of cooperation and mutual respect. Should such negotiation and mutual understanding fail, discussions, claims or disputes will ultimately be arbitrated by the Vietnam International Arbitration Centre (VIAC) at the Vietnam Chamber of Commerce and Industry (VCCI) of the Socialist Republic of Vietnam. All claims must be submitted to the Agency's Hanoi office, by registered letter with acknowledgment of receipt, no later than 30 days after the end of the services. TYPIC travel will not take any responsibility for complaints received more than 30 days after the end of the services.

Once the program is confirmed, a deposit (generally 30% of the total amount) will be requested to validate the reservation.

Q: How long before departure should I book?

A: We always advise you to book your trip as early as possible for the following reasons:

-> To benefit from a wide range of options on services concerning: airline tickets, train, boat, junk, hotels, restaurants, guides, and drivers,

-> To allow time to modify or even cancel,

-> To benefit from services at the best rates,

-> To be taken care of, accompanied, and informed earlier by your travel advisor.

However, if you decide to leave at the last minute, it is entirely possible, within the limits of availability. In this case, you will understand that depending on the availability of our service providers and the negotiated rates, the price of your stay will be modified accordingly.

Q: How do I pay for my tour?

Q: Once my trip is confirmed and paid for, can I modify or cancel my trip?

Please note that any modification or cancellation must reach us by registered letter with acknowledgment of receipt.

Q : How to pay on site?

A : We advise you to exchange your Euros for local currency, the Dong, for your personal expenses (Drinks in restaurants, purchase of small souvenirs, small tips for bellboys in hotels and waiters in restaurants, purchase of postcards...)

You can use your VISA Card, or Master Card to gradually withdraw small denominations from ATMs, which can be found almost everywhere from Hanoi to Ho Chi Minh. Beware of potential bank fees!

You should know that you can pay by credit card (VISA CARD, Credit CARD, Master Card ….,) in most hotels, restaurants and shops with fixed prices and in large supermarkets or shopping centers.

Q : What is Visa On Arrival (VOA)?

A : It is imperative to have a visa to enter Vietnam (but also Laos, Cambodia, and Myanmar). We handle the procedures to obtain it reliably, quickly, and inexpensively for you.

"Visa On Arrival" means that you only need an approval letter signed by the Immigration Department to be able to board from home without a visa; it is this letter that will allow you to obtain the precious sesame upon your arrival at the airport from the immigration services.

The airports that handle Visa On Arrival are: Noi Bai in Hanoi, Tan Son Nhat in Ho Chi Minh City, and Danang.

Q : How many kilos of luggage am I allowed on the plane?

A : It all depends on the airline you are traveling with and the class of your seat when booking.

With international flights, the weight is between 20 and 30kg for checked baggage and 5 to 10kg for hand luggage.

On domestic flights, we only offer flights with Vietnam Airlines, Lao Airline, Cambodia Airline and you benefit from approximately 20-25 and sometimes up to 30kg of checked baggage and 7 to 10kg for hand luggage.

Q : When and how do I get my travel documents?

A : Once your deposit has been paid, we will send you a travel voucher, a detailed invoice, the travel program and/or internal flight tickets if necessary, by E-mail or fax. These documents will then be given to you on the day of arrival in Vietnam.

Q : Can I extend my trip?

A : YES if you still have the possibility to extend your return flight.

Q : Do I need to take out special insurance?

A : We always ask you to take out international travel insurance before your departure and to carefully check that this insurance also covers your repatriation costs in case of serious problems.

We also advise you to take out travel insurance that covers all medical expenses in case of emergency and gives you access to a wide range of medical and travel services worldwide.

Q : Are there any specific vaccines to get?

R : No vaccination is officially required by the Vietnamese authorities. However, vaccines against cholera, hepatitis, typhoid, tetanus, polio, and Japanese encephalitis are recommended. Please consult your usual doctor for more personalized advice. Also, bring a good mosquito repellent for the trip and make sure to pack loose and light clothing for the heat, but also long-sleeved shirts and covering pants for the end of the day. It is also advisable not to wear perfume to attract fewer insects. If you are undergoing special medical treatment, make sure to bring enough medication for the entire duration of your stay. Also, pack medications for headaches, stomach problems, fever, body aches, and sore throats.

In 2001, Vietnam was the sixth most popular tourist destination in Southeast Asia. In 2017, it welcomed over 12 million visitors...

Vietnam possesses an exceptional natural environment that must be protected. Several species listed on the global list of endangered species are still present: the white-headed langur, the elephant, the rhinoceros, the tiger, the leopard... a hundred natural reserves, covering more than 3% of the territory, and national parks have been created, a large part of which is open to ecotourism.

We can only welcome the fact that the development of sustainable tourism in combination with the preservation and promotion of national cultural values, as well as the protection of landscapes and the environment, is among the objectives set in Vietnam's overall tourism development plan by 2020, with a vision to 2030.

However, we would like to remind you that, in general, regardless of the environment in which the traveler moves, urban or natural, it is their responsibility to respect the place they are visiting. Here are some basic principles, applicable everywhere in the world.

– Avoid leaving certain waste on site and take it with you if the country does not have infrastructure for disposing of such waste. For example: batteries, expired medicines, plastic bags.

– Water scarcity is now a global problem. Even if the visited country is not primarily concerned by the shortage, some habits should now be part of daily life: prefer showers to baths, avoid waste, report any leaks from faucets.

– In most hotels, you will have individual air conditioning. It is strongly recommended, to avoid excessive energy consumption and related greenhouse gas emissions, to systematically turn it off when you are not in the room. Air conditioning is not absolutely necessary in all climates anyway.

– When walking, in certain fragile ecosystems, do not stray from paths or drive off-road, limit trampling and do not take "souvenirs": refrain from picking rare flowers, collecting fossils or petrifications, etc.
